TL;DR
Aelara tracks the last treatment date for every patient and prompts the next booking at the right window — Botox at 3–4 months, filler top-ups at roughly half the product's expected lifespan, skin booster maintenance on its own cycle. Prompts go out by SMS and WhatsApp, timed to when the patient is actually due — not when someone remembers to chase them.
The problem
Every aesthetics treatment has a window. Miss it and one of two things happens: the patient forgets she's due, or she remembers and books wherever answers first.
Tracking this manually means someone on your team holding a running model in their head — who had what, when, what they're due for next. That breaks the moment your receptionist's on holiday, your books get busy, or you've got more patients than one person can track without a system.
Treatment by treatment
Botox — reviewed at 2 weeks to check the result, then maintenance every 3–4 months. The cleanest, most predictable repeat cycle of any treatment — which is exactly why it's the easiest one to lose track of if nobody's watching the calendar.
Dermal fillers — reviewed at 2 weeks, top-up window 6–18 months depending on product. The rule most clinics use: book the top-up at roughly half the product's expected lifespan, not once it's already worn off.
Skin boosters — a course of 2–3 sessions, spaced 2–4 weeks apart, then maintenance every 4–9 months. The final session in a course tends to sit toward the longer end of that window.
Fat grafting — reviewed around 3 months, then again at 1 year. The 3-month point is where you decide whether more sessions are needed.
Peels and microneedling — a course of 3–6 sessions, 4–6 weeks apart, then maintenance every 3–6 months. This one's genuinely an ongoing programme, not a single treatment with a top-up tacked on.
Weight loss injectables — reviewed within the first week, then on a recurring monthly review cycle. Exact injection timing varies by patient and protocol — Aelara prompts off your clinic's own review schedule, not a generic assumption.
How it works in practice
Every patient record carries their last treatment date and type. Aelara works out the right window for that treatment and sends a prompt by SMS or WhatsApp when they're actually due. The patient replies and the booking writes straight into your diary — for Pabau, Fresha, Phorest, Cliniko, and Timely, that's a real two-way write, not a callback waiting on someone to re-enter it by hand.
The gap this closes: a patient gets Botox in March, nobody chases the top-up in June, and by the time anyone notices she's already booked with the clinic two streets over. That's the gap Aelara's built to close.
What it isn't
This isn't blast SMS marketing — every message is tied to that specific patient's own treatment history, not a mailing list. It's not a CRM. If your clinic runs something other than Pabau, Fresha, Phorest, Cliniko, or Timely, we'll build that integration before going live rather than fake it. The treatment itself, the relationship — that stays entirely human. Aelara's job is just making sure nobody falls through the gap.
